Develop the Tag Library for Merging Information into Narratives

What is a Narrative Tag?

When placed in a Narrative, a "tag" serves as a placeholder an element — such as text, an image, a statistic, or a report — that will be "merged" into the final document. Tags allow elements to be placed in multiple locations, edited or updated separately, and globally replaced, as necessary.

On the Narratives > Tags and Values tab, the library of existing tags, and their corresponding values, are stored. While an array of default system tags will automate the inclusion of key text, data, and reports, you may also create custom tags for your specific needs.

Example: [Affirmative Action Chief Policy Signer] is a tag, representing the name of the chief policy signer, perhaps "Jane Smith."

Edit Tags & Values, using the Tag Library

Tags & Values in the left column will include both default and custom entries. Tags with an In use icon next to them are currently in place in one of the Narrative Templates and should be updated with the relevant information. Tags with a Value Assigned icon indicate that information has been supplied. Tags without an icon are currently not in use in Narrative Templates.

Select a tag from the list. Any text already applied to the tag will appear in the Tag Description field. Enter the appropriate information for each tag into the Tag Description field and click [Save], and then continue with the other tags.

Add a Tag to the System

Create a tag by clicking [Add a New Tag]. Select the radio button for: Text.

Enter:

  • Tag Name
  • Tag Description
  • Number of Rows (from 1 to 6, which will be available in the template for tag content)

Use and Image for a Tag

An image, such as a logo or signature, can be associated with an existing tag. Click the radio button for: Image. Under Current Image, enter Image Width and Image Height (in pixels). Choose File; and locate the BMP, JPEG, PNG, or GIF file on your computer or network for upload.

Click [Save]. Tags created in one plan can be used in any plan in your organization. Delete the tag (for all plans in your organization) by clicking [Delete]. You can only delete tags you have created.

Import Tags & Values (Master Plan)

For those preparing a set of multiple plans, having global and plan-specific tags, the Import Tags & Values process will help streamline your efforts. A helpful template and the export/import process are described below.

Export Tags & Values as an Excel Template to Update Library

With balanceAAP, an Excel template can be downloaded, completed, and brought back into the system to support the development of Tags & Values. Each plan in the set will be identified by Plan Code.

Quick Tip: If you want an existing Narrative tag to be retained as is, leave that column in the Excel template blank.

Perform the Export/Import Process

Begin by accessing Import Tags & Values from the upper ribbon.

  1. Determine template export settings — Choose to have the system: Fill in the current Narrative Tag Values (default) OR Only include the Narrative Tags and the Plan Codes.
  2. Click the [Export Template] button, and save the template to your computer or network.
  3. Complete the template with the necessary values; then save the Excel document with a new title.
  4. Return to Import Tags & Values. In reference to blank values, tell the system to overwrite existing values with the blanks OR ignore incoming blanks (default).
  5. [Browse] for the file, and click [Upload Workbook]. The file name will be retained on the Import Tags & Values sub-tab, and the source file may be changed at a later time.
  6. Click the [Import Tags and Values] button.
