Track the Progress of Job Seekers

In balanceTRAK, the progress of each Job Seeker your organization reviews is tracked by aby:

  • A set of Job Seeker Stages, and Disposition Codes that anticipateanticipating the typical paths applicants would take as they progress or leavethrough the consideration process.process
  • AND

  • Disposition Codes, documenting the typical decision points at which a Job Seeker would no longer remain under consideration

Depending on the software Implementation, certain Stages and/or Disposition Codes may be automatically assigned by the system.

Example: Job Seekers who fail to meet minimum qualifications during Prescreening can be automatically assigned the Disposition Code: Did not meet minimum qualifications.

With precise control, the balanceTRAK user with appropriate permissions can also work with the Job Seekers > Job Seeker list (or a Job's Seeker's detail) to assign these essential tracking codes.

Understanding Job Seeker Tracking Codes

What is a Job Seeker Stage?

While the governing Requisition is Open — and until it is Closed — Job Seeker Stage indicates what general step of the process each Job Seeker is undertaking, or has undertaken.

Example: At the beginning of the application process, all of the Job Seekers who were accepted as meeting minimum qualifications would be labeled as "Prescreened."

What is Disposition Code?

A Disposition would indicate the ending point for each Job Seeker. For each Job Seeker Stage (as defined above), a set of particular Disposition Codes becomes applicable, indicating possible Job Seeker outcomes. During each Stage, Disposition is assigned to a Job Seeker in consideration of his or her situation or screening result.

Example: A candidate could be assigned as "Withdrew Application" (at any time), while during the "Interview" Stage, a Job Seeker could be selected for "Schedule First Interview."

How Job Seeker Stage and Disposition Work Together

As the group of prospective candidates is narrowed, coding for Job Seeker Stage and Disposition serve to document their paths until one or more new hires are determined. At each Stage, Job Seekers can take one of two paths:

  1. Move forward to the next Job Seeker Stage (Accepted for further consideration)
  2. Move out of consideration through Disposition (Not accepted for further consideration)

In some Implementations, balanceTRAK will reinforce the following workflow aspects:

  • Limit progression to forward movement through Stages
  • Allow a Job Seeker to skip a Stage

Update Job Seeker Stage and/or Disposition

There are two methods for updating Job Seeker Stage and/or Disposition:

To update these attributes, navigate to the Job Seekers module.

Important Caution Please take care to understand your organization's processes, as an automatic email notification may be triggered by the assignment of Stage/Disposition. For example, the assignment of Not Best Qualified to a set of Job Seekers may trigger the transmittal of a rejection email to that group.

Assign Stage/Disposition for an Individual Job Seeker

From the Job Seeker list, highlight an individual Job Seeker to display his or her detail record:

  • In the detail's secondary header, click on the current Job Seeker Stage, on the left, to display other available options. Select a different Stage,^ which will then display in the header
  • AND/OR

  • Click on the current Job Seeker Disposition (on the right), and choose another option from the provided drop-down
