Start with Requisition Building Blocks: Summary, Fields, and Forms

This article outlines the Requisition detail's first three tabs. Your interaction with an existing Requisition begins with the Summary tab, the critical point of entry for performing actions, reviewing basic Requisition information, Job Seeker statistics, and "jumping off" to review more about Job Seekers who have applied.

Although Fields and Forms (along with other Requisition components) were determined during the Add New Requisition process, tools for interacting with these tabs in a current Requisition are discussed at the bottom of this article.

View the Requisition Summary

The left column contains the Requisition Details, (pulled from the Fields tab) including:

  • Posting Start Date
  • Posting End Date
  • Location
  • City, State, Zip

Also in the left column, Links to your organization's Job Posting page(s) will display for easy access at any time.

In addition, tools for basic Requisition actions and a Job Seeker Breakdown are shown on the Summary tab, as described next.

Survey the Job Seeker Breakdown

Keep track of Requisition progress by accessing Requisition Detail > Summary tab and reviewing the Job Seeker Breakdown table, comprised of numerical statistics by Job Seeker stage and disposition. Links, representing statistics within the table, serve as access points for reviewing Job Seeker activity.

Job Seeker activity can be accessed, once the following actions have occurred in the system:

  1. A Requisition is created (and if applicable, approved).
  2. The job opening is posted on line
  3. AND

  4. At least one Job Seeker has applied


View Job Seeker Activity
Navigate to the Requisition's Summary tab. Within the Job Seekers table, choose the link for a statistic, located in one of the following columns:

  • Current
  • Dispositioned
  • OR

  • Reached

Change Requisition Category between Open and Closed

The current Requisition Category will be indicated on the right side of the Requisition Detail header:

  • Pending
  • Open
  • OR

  • Closed

Quick Reminders: A Requisition undergoing an Approval Process will be: Pending. If an Approval Process is not associated with the Requisition, it will automatically be Open when created. Once Open, a Requisition cannot be returned to Pending.

To change the Category, access Details on the left side of the Requisition's Summary tab. In the lower toolbar, click the [Open], or alternatively [Close], button to change the Requisition Category.

Perform Requisition Actions

Reopen a Requisition
A closed Requisition will display a [Reopen] button in the Details toolbar. Click this button to change the Category from Closed back to Open. Proceed to reset the settings for: Post the Job Listing Internally and/or Externally and Accept New Job Seekers, as described below.

Copy a Requisition (Administrators only)
From the Summary tab under Details, the Administrator may copy a Requisition. Click [Copy], the second button from the left. Check off whether to:

  • Copy Job Seekers
  • Copy Category

Then select [Go].

Delete a Requisition (Users with appropriate permissions)
In the Details toolbar, click the [Delete] button to remove the Requisition from the system.

Cross-reference: The System Administrator may prevent a Requisition from being Closed until all Job Seekers who applied are assigned a final Disposition code. If you are an Administrator, find more information under Settings and Statuses here: System Tools > Client Settings / Requisitions.


Edit How Fields are Grouped (Administrators only)

The user with Administrative-level permissions can reorganize Field Groups on the Requisition detail > Fields tab. Click the Edit icon at the top of window, and locate the Field below. Then, change the text entry to match a different Group for each relevant Field, and [Save] to apply.


Manage Requisition Forms

Typically (and for compliance purposes) a Requisition's Forms will remain the same for the duration of the job posting. However, the Requisition detail > Forms tab can be accessed to manage, review, or edit Forms. In addition, statistics will be displayed on the number of Job Seekers who have completed, or started to complete, each Form.

Important Alert: To protect Form integrity, Form editing may be disabled, according to each user's permissions and/or whether a certain Requisition action occurred (e.g., the approval process is complete; a Job Seeker has applied).

View a Form and Perform Form Actions

Just like how Forms were displayed while the Requisition was being created, they are organized on the Requisition detail > Forms tab in columns for:

  • Form Templates (The full library of Forms available in the system)
  • External (Existing Forms associated with the Requisition's external posting)
  • Internal (Existing Forms associated with the internal posting)

Within thesethe last two columns, listed above, each existing Form (e.g., Prescreener, Application) is shown as a bar for viewing or editing.

To access each Form's toolbar, click the Expand icon within each Form's bar. Based on each user's permissions, the toolbar will contain the following icons for working with the particular Form:

  • View — View a PDF of the Form (and print, if needed)
  • Edit — Modify an existing Form, and make form changes
  • Delete — Remove a Form (and click [OK] to confirm the deletion)
  • History — Follow a quick link to the Form's Template's editing History
  • % Scoring — Create a Scoring Scheme that will assign values to applicant responses
  • Settings — Follow a quick link to the underlying Form Template's Settings

Add a New Form to a Requisition

First, access the Forms tab. In the same manner that the way a Form is added during Add New Requisition > Forms, drag a Form from the Form Templates column on the left to one of the External or Internal columns on the right.
