Track the Progress of Job Seekers

With easy-click options, the Job Seekers module puts precise coding at your fingertips to advance Job Seekers forward (or remove them from consideration) — either individually (as outlined below) or as a bulk Job Seeker operation.

These balanceTRAK tools to assign Job Seeker Stage and Disposition allow your organization to apply and track applicant decisions consistently, across both job openings and Job Seekers who applied. That's why it's an HR best practice to disposition all Job Seekers who applied before or when a Requisition is closed.

This article begins by explaining what Job Seeker Stage and Disposition mean, then explains how the Job Seeker's detail can be updated to reflect the critical decisions you make every day.

How are Job Seekers Tracked in the System?

In balanceTRAK, Job Seeker movement is recorded by means of two basic codes:

  • Job Seeker Stage — While your organization makes decisions about who to consider (and ultimately, hire) for a Requisition, Job Seeker Stage chronicles each applicant's progress "up the ladder." These codes reflect screening activities that narrow the applicant pool and lead to a hiring decision, such as completing Forms, undergoing interviews, and extending/accepting an offer. During a Stage, a Job Seeker can be removed from the process, or dispositioned, as described next.

Example: For a particular company, "Application Received" denotes Job Seekers who have (1) met minimum PRESCREENER qualifications, and (2) completed the APPLICATION Form.

  • Disposition Code — Occurring within a Stage, Disposition Code documents the decision (or event) that removes the Job Seeker from consideration. In addition to assigning an outcome to Job Seekers who no longer remain in the screening process, a Disposition Code will also identify each chosen hire. A default code, indicating "Not dispositioned," will stay with the Job Seeker until he or she is assigned a final outcome.

Examples: A candidate who no longer wishes to be considered can be assigned the code: "Job Seeker Withdrew." For a Stage-specific example, a Job Seeker could be deemed as "Rejected: Career Goals not in Line with Position," based on answers to questions posed during the "Interview."

Depending on the software Implementation, certain Stages and/or Disposition Codes may be automatically assigned by the system.

Example: Job Seekers who fail to meet minimum requirements during Prescreening can be automatically assigned the Disposition Code of "Rejected: Does not Meet Minimum Qualifications."

How Job Seeker Stage and Disposition Work Together

Job Seeker Stage and Disposition work together to log the forward progress and final outcome, respectively, of every Job Seeker who applied to a Requisition. Keep in mind that Stage is the controlling factor over Disposition: While some Disposition codes may apply to multiple Stages, others will be specific by Stage.

At each Stage, Job Seekers can take one of two paths:

  1. Move forward to the next Job Seeker Stage
  2. Move out of consideration through Disposition Code

Note: Most typically, the system will limit a Job Seeker's progression to forward movement. However, in some Implementations, the system will allow a Job Seeker to skip a Stage.

Every Job Seeker will ultimately be associated with the highest Stage reached, plus a Disposition code that indicates why each one failed to proceed (or was hired). This information supports the Job Seeker Stage Table, located on the Requisition > Summary.


Update Job Seeker Stage and Disposition

There are two methods for updating Job Seeker Stage and/or Disposition:

To update these attributes, navigate to the Job Seekers module.

Important Caution: Please take care when assigning Disposition — Your company's software settings may automatically trigger the transmittal of Job Seeker email notifications, based on Disposition Code. For example, the system may send rejection messages to those Job Seekers who are determined to be "Not Best Qualified".

Assign Stage/Disposition for an Individual Job Seeker

From the Job Seeker list, highlight an individual Job Seeker to display his or her detail record. In the secondary header, update one or both of the following codes, reviewing and addressing Stage first:

  • In the left box, click on the current Job Seeker Stage to display other available options. Select a different Stage, which will then display in the header.
  • Note: You may be limited to choosing the next Stage forward in your organization's tracking process.

  • In the adjacent box to the right, click on "Assign" (or the displayed label, indicating the Job Seeker has not been dispositioned). Then, choose a code from the provided drop-down.
  • Note: While the displayed Disposition Code can be changed, Job Seekers will remain unassigned until a final outcome has occurred.

Stay Informed about Job Seekers missing Disposition Codes

A Counter tile is available on the Home page Dashboard that records the number of Job Seekers who are Missing Disposition. Within the tile, simply click the displayed number to view the Job Seeker list, filtered to the relevant Job Seekers.

View Dashboard Metrics on Job Seekers by Stage

Also available on the Home page Dashboard is a graph, summarizing Job Seekers by Stage. Through tile / Settings, this graph can be personalized to display the information each user needs.
