Screen a Job Seeker and/or Submit a New Hire for Onboarding

About the Screenings Tab

The Job Seeker detail > Screenings tab serves as the "doorway" for connecting to integrated third-party vendors that provide Background Check (e.g., Justifacts) and onboarding (e.g., EMPtrust) services. The menus displayed here will reflect the information-gathering needs of the particular provider.

Important Note: While balanceTRAK facilitates interactions with integrated third-party providers, each provider will maintain a proprietary portal and associated interfaces, based on the agreement between your organization and the provider.

Submit a Job Seeker for a Background Check

In order to obtain a Background Screening from the integrated provider, the Job Seeker must first complete a BACKGROUND CHECK form. The Job Seeker must be placed into the Job Seeker Stage, indicating he or she is ain newthe hire.corresponding part of the screening process.

Once that information is in hand, navigate to the Job Seeker's Screenings tab. Because some vendors may allow you to select certain options, follow the provided prompts, and click [Submit] to forward the form to the third-party vendor and initiate background screening.

Receipt of Background Check Report

In addition to maintaining Background Check reporting in an external portal, the third-party provider will send an email notification, accompanied by a report, to the balanceTRAK submitter upon completion of the check.

If supported by your provider, click the [View Results] button to see the results of the background screen. This [View Results] button will become available once the report is ready to be reviewed.

Submit the New Hire to Third-party Onboarding (Where installed)

If your organization currently has an account with EMPTrust, the Job Seeker detail for each "hired" Job Seeker will have display EMPTrust menu on the Screenings tab.

Once all required fields have been populated for the Job Seeker’s record, click the [Submit] button. A message will indicate that the information has been forwarded to EMPTrust.

Resubmit Information to the Provider

If a submission has been send previously, click the [Resubmit] button to send any updated or additional information.
