Establish a History Source for Plan Calculations

About the History Source

Because the current AAP reviews progress towards goals set in the previous year plan and relies on historical data for supporting analyses, the previous plan serves as the History Source. However, the system offers other tools for establishing this historical starting point, if a previous balanceAAP plan does not exist.

Confirm the Existing History Source

On the Create Plan screen, you were asked if you had a prior year’s plan. If so, on the History Settings tab, you will be asked to confirm this plan as the History Source.

You can also select a different prior year’s plan from the provided drop-downs, Manual Input, or Start Point Analysis.

If you did not select a prior year’s AAP at plan creation, the History Settings screen will ask if you would like to create a Start Point Analysis. If Yes is selected, the source on the History Settings menu will be selected as: Start Point Analysis. If No, the History Source will be selected as: Manual Input. You can change these optionsselections, onas thenecessary.

Click [Apply] to save the setting.

Manual Input

Use this option if you want to input all of the employment numbers, availability percentages, and placement goals manually. You may want to do this if you have the actual numbers from last year’s plan, not prepared in balanceAAP.

To input your history numbers manually, select Manual Input. Under the History Information section, select a job group from the drop-down list, and enter each value for each report group. If the report group had a goal, check the Goal box. Once you have entered all the numbers for the job group, you must click Save before switching to another job group. If you do not click Save before changing job groups, all the data you entered will be lost. Repeat this step for each job group in your plan.

Perform Start Point Analysis if a History Source does not Exist

The Start Point Analysis is a good way to establish history data when you are doing your first plan in balanceAAP.

A Start Point Analysis is an estimation of the prior year’s affirmative action plan based upon the current roster and the personnel actions that occurred during the personnel action date range for the current plan. balanceAAP will start with your current roster, and reverse the hires, promotions, terminations, and other personnel actions to calculate how many people were in your job groups last year. It will then calculate your availability and goals based on the recruitment areas, census codes, feeders, and factor weights in your current plan.

To set your history source as a Start Point Analysis, select this option and click Save.

Import from Existing Plan

If last year’s plan was done in balanceAAP, you should choose to import the history data from that plan. This will ensure your goal attainment and adverse impact calculations are utilizing the appropriate data.

To set a previous plan as the history, select this option, then select the Company, Establishment, and Plan that will be the history from the drop-down lists. Click Save to save the changes.

Enter History Data with Manual Input

To input historical statistics, using data entry, select: Manual Input. Under History Information, select a Job Group from the drop-down, and enter the value for each report group.

As appropriate, identify each group with a goal set in the previous year by checking the box for: Goal. Click [Save] before proceeding to the next Job Group.
