    About Census Coding

    Included with balanceAAP, the U.S. Census Bureau data source (EEO Tabulation for short) captures responses from the American population about demographics and occupation, organized by occupation code. These occupation codes form the bases for determining how many people in the defined Reasonable Recruitment Area(s) have the requisite skills for jobs at your organization. Therefore, each job title/code at your organization must be matched to a census occupation code.

    The necessary censusCensus occupationOccupation codes may be imported with the plan's Data > Import, by including them in the Job Code Reference table.

    How Auto Census Coding is Initiated
    If census codes are not present in the data set (or some are blank), balanceAAP will perform Auto Census Coding to complete those entries when you exit the Data module.

    Note: This feature also runs if you change the census datasourcedata source after plan creation. To review (or change) the current census data source, navigate to the Availability > Recruitment Areas, and click the toolbar's [Settings] button.

    OnceCensus thecode assignments are made, either from the Job Code Reference table or through Auto Census Coding, they can be reviewedreviewed, (andand edited, if necessary), as described next.

    Review and Edit Census CodeCoding

    Whether AssignmentsChooseCensus Occupation codes have been imported and matched to Job Codes, or auto-assigned by the software, they can reviewed, edited, and exported. To do so, visit the Availability module by selecting Census Coding from the Availability side navigation menu. The job code and census code matches will be displayed by Job Group. Select a group from the Job Group drop-down.

      Because Datathe becomeCensus available,Coding either: table can be quite lengthy, Filter bars in the list header can reduce the display by the following variables. Expand one Filter menu at a time, as needed:

      • By IndividualsJob Group — Check one or more.
      • EEO Code — Check one or more.
      • Census Code — Check one or more.
      • Category — Select: All, Auto Census Coded, Changed [by import] Since Last Import, Changed Since Last Year OR

        New This Year.
      • By WeightedStaffed, StatisticsUsed OR All Job Codes — Select one of the three options.


      Reset the Display
      With the Reset Filters icon located in the window header, a filtered list can be reverted to the default display.

      Search Census Codes

      In the right-hand window, begin by selecting a Search Option:

      • Keyword Search
      • Census Group
      • OR

      • Occupation

      Each of the three Search features will intuitively display, based on the chosen option:

      1. The Keyword option will present a Search bar, and a menu of available Census Codes, with navigation by scroll bar. To view an expanded description of any code, simply click the entry. Either enter a term in the Search bar, or scroll through the menu to find the desired code.
      2. The second Census Group option will present drop-down list of available groups, plus the Census Codes menu, to aid in locating a particular group and/or code.
      3. For a simple Search, choose the third option, Occupation. Enter a few letters or words (e.g., facility engineer).

      Click the Clear Search icon to begin a new Search.

      Expand an Entry to Show Definition and Statistics

      Simply click the [Job Code] entry to expand the listing. When expanded, the Standard Occupation Code (SOC) definition and statistics for the demographic availability of minorities and women for the code will display.

      Click the [Demographics button] next to the code will display the demographic availability of minorities and women for that code.

      (Optional) Edit a Census Code Assignment

      InTake eitherthe following steps to edit an assignment:

      1. Locate one or more Job Code(s) on the Census Coding view,table, clickusing the [Edit]Filter buttontools (described above), if helpful.
      2. Then, check the box to the left of theeach Jobentry Titleyou wish to changeinclude.
      3. In the right-hand window, search for, select, or navigate to, the replacement Census Code, using the Search window tools (as described above).
      4. Click the [Assign census code assignment.[XXXX]] Thebutton.

      Recommended: SelectReview the updated Census Coding table to confirm the changes are satisfactory.

      Export Census Code menuMatches willto open.Excel

      Before Chooseperforming onean ofexport, threemake options for displaying likely matches:

      • Select from a list that may match your job title, or fromsure the listdisplayed ofmatches allare codes — Click [Show All], a button at the bottom of the list, if desired.
      • Search by a job title or census code title — Type a keyword into the provided field,complete and clicksatisfactory. Search.Then,
      • Select from a list of codes relevant to a defined census code group — Narrow the Census Code list by choosing a Census Code Group from the provided drop-down.

      Once the menu results display, click the appropriate [Census Code] link. The change will apply, and you will be returned toselect the Census Coding tab.

      Quick Tip: Job Title View — If you are familiar with census coding or only have a few[Export to edit,Excel] choosebutton, tolocated VIEW BY: Job Title. Click directly onin the Censuswindow Codefooter. /DescriptionFollow entrythe prompts to open aand drop-down, containing all census codes. Typesave the firstfile fewon numbersyour ofcomputer theor code to navigate down the list, and select the appropriate code. Click Save.

      Master Plan Considerations

      ToWhen working with a Master plan/sub plan set, it is critical to consider whether an update will apply aacross changeall sub plans or be limited to one or a few establishments.

      When viewing Census Coding by Job Title, precise controlsCodes can be applied to save an updated census code assignment in the Master Plan.

      Use the following method to restrict the change to the Master Plan:

      1. Display Census Coding by Job Title.
      2. Click on the Census Code/Description entry.
      3. Select a different code.
      4. Click Save.

      Alternately, select Save & Cascade for step 4, and apply the edit to all sub plans.

      Census codes can laterstill be reviewed within a sub plan and edited for thethat location's particular needs.needs as outlined below.

      When determining External Availability by Plan Group, consider visiting Census Coding if census code assignments will vary by Plan Group. Most organizations will keepfollowing the Censusediting Codinginstructions consistent across all plans. above.

      From the menu header, choose a Plan Group from the provided drop-down before proceeding to edit a current assignment. By default, the box will be checked for: Yes, cascade to my plan group.
