Work with Basic Information and Tools in the Requisition Detail

Upon entry to Requisitions, the Requisition list, consisting of your organization's Job Postings, will appear in the left column. When a Requisition on this list is highlighted, the corresponding detail will display in the right-hand window. Here, you will find Summary and other tabs, largely displaying information and settings you determined during Add New Requisition. However, the detail view offers an opportunity to perform recordkeeping functions, edit the Requisition, view information in various ways, and export specific data to Excel. These features are outlined below.

Overview ofAbout the Requisition Detail Layout

At the top of the detail window, the header is comprised of:

  • The title bar, labeling the Requisition
  • A quick-access toolbar for viewing and editing key Job Posting settings
  • AND>

  • A series of Requisition detail tabs, providing access to comprehensive task areas

Below the header is each tab's working area, topped by an upper toolbar that contains icon-based tools that are specific to working with each task area's specific data, settings, or views.


View the Requisition Summary

The left column contains the Requisition Details, (pulled from the Fields tab) including:

  • Posting Start Date
  • Posting End Date
  • Location
  • City, State, Zip

Also in the left column, Links to your organization's Job Posting page(s) will display for easy access at any time.

In addition, tools for basic Requisition actions and a Job Seeker Breakdown are shown, as described next.

View the Job Seeker Breakdown

Keep track of Requisition progress by accessing Requisition Detail > Summary tab and reviewing the Job Seeker Breakdown table, comprised of numerical statistics by Job Seeker stage and disposition. Links in the columns for Current, Dispositioned, and Reached serve as access points for reviewing Job Seeker activity.

Perform Requisition Detail Actions

Change Requisition Category between Open and Closed
The current Requisition Category will be indicated on the right side of the Requisition Detail header: (Pending, Open, or Closed).

Quick Reminders: A Requisition undergoing an Approval Process will be: Pending. If an Approval Process is not associated with the Requisition, it will automatically be Open when created. Once Open, a Requisition cannot be returned to Pending.

To change the Category, access Details on the left side of the Requisition's Summary tab. In the lower toolbar, click the [Open], or alternatively [Close], button to change the Requisition Category.

Reopen a Requisition
A closed Requisition will display a [Reopen] button in the Details toolbar. Click this button to change the Category from Closed back to Open. Proceed to reset the settings for: Post the Job Listing Internally and/or Externally and Accept New Job Seekers, as described below.

Copy a Requisition (Administrators only)
From the Summary tab under Details, the Administrator may copy a Requisition. Click [Copy], the second button from the left. Check off whether to:

  • Copy Job Seekers
  • Copy Category

Then select [Go].

Delete a Requisition (Users with appropriate permissions)
In the Details toolbar, click the [Delete] button to remove the Requisition from the system.

Cross-reference: The System Administrator may prevent a Requisition from being Closed until all Job Seekers who applied are assigned a final Disposition code. If you are an Administrator, find more information under Settings and Statuses here: System Tools > Client Settings / Requisitions.


Use Requisition Detail Header Tools

Three key tools appear in the Requisition detail header for all tab views. Located at the upper right, these icons provide "fingertip" control over whether the Requisition will:

  • Post Internally
  • Post Externally
  • Accept New Applications

Quick Tip: A red Alert symbol on the Requisition list indicates all three Requisition header settings are turned off, while a yellow Alert icon indicates the Requisition is not currently posted.

Cross-reference: These settings can be automatically turned on at Requisition creation through settings on the Requisition > Workflow tab.

Post the Job Listing Internally and/or Externally

Access the two controls below the Summary tab header for: Posted Internally and Posted Externally.

Click on the desired setting(s). When the setting is not in place, the icon will have a strike-through in red.

Accept New Job Seekers

Also below the Summary tab header, click the Accepting New Job Seekers icon to turn that setting on or off.

Export to Excel (Job Seeker Activity, History, Notes)

Data can be directly exported from some Requisition detail tabs, including Job Seeker Activity, History, and Notes. Click the [Export to Excel] icon, located in the tab's upper toolbar. The corresponding data will appear in a new window, suitable for printing or saving.

Edit Fields (Administrators only)

The user with Administrative-level permissions can reorganize Field Groups on the Requisition detail > Fields tab. Click the Edit icon at the top of window, and locate the Field below. Then, change the text entry to match a different Group for each relevant Field, and [Save] to apply.

Review Requisition Forms

Typically (and for compliance purposes) a Requisition's Forms will remain the same for the duration of the job posting. However, the Forms tab in the Requisition detail can be accessed to review those Forms, plus statistics on the number of Job Seekers who have completed, or started to complete, each Form.
