About Viewing AAP Reports

Once an Affirmative Action plan is completed, the plan preparer will share the plan's results, or Reports, with other balanceAAP users. Displayed on the Reports > AAP Reports tab, the comprehensive directory for accessing these results is comprised of the following items:

  • Primary, or federally required, reports
  • Secondary reports in support of the primary findings
  • Any specific Plan or Company Documents that may be stored in the system

AAP Reports are organized by Report Group, or topic (e.g., Narratives, Utilization). Keep in mind the Reports list will vary, based on plan type (e.g., Annual, Update), plan year, and organization-specific permissions and naming conventions.

For additional flexibility in outputting Reports, user-defined settings may be applied to customize a report, both globally and by Report Group, as appropriate for the analysis or content.

Quickly Select a Download Format to Open Report

For each report, click a file icon in the View column to open the report. The line item will display the applicable file types for the report type:

  • PDF
  • Word/Text
  • Excel

The report will display in a separate window, available for viewing, download, and saving.

Determine Global Settings

Click the [Global Settings] button in the View Reports In header, to select footer options:

  • Suppress Statistical Footnotes
  • Include Date Footer
  • (Enter) Custom Footer

Hide/Unhide Legacy Reports

When a new plan is created, certain legacy Adverse Impact and audit-related Compensation reports are hidden by default. To display both current and legacy reports on the AAP Reports page, click the [Global Settings] button. Then uncheck the box for: Hide Legacy Reports.

Legacy reports will be shown by default in previously created plans. The box may be checked or unchecked, as necessary. Click [Save].

Determine Report Group Settings

Click the Group Settings icon, located in the Report Group header, to view options available for that group (e.g., Run by Job Group, Insert Page Breaks Between Departments). Other options include displaying or hiding fields associated within the particular report.

Filter Adverse Impact (or Impact Ratio Analysis) Reports by Job Group

From a Regular Annual Plan or Master Plan, select the Report Settings icon for the Adverse Impact Report Group. From the Report Settings menu, jump to Job Group Filter. Check the box to: Filter Adverse IRA Reports by Job Group.

A list of Job Groups will display, all selected by default. Deselect any Job Groups that should not be included. Review the other settings, make any necessary changes, and click [Save].

Determine Calculation Settings (Where displayed)

Click the Calculation Settings icon, located in the Report Group header, to access previously determined statistical settings related to the group. If changes are to be made, please review: Settings > External Availability Calculations.


1. How to Select Reports for Bulk Export

Easy-Link Buttons for Selecting Multiple Reports

At the top of the AAP Reports list are links to:

  • Select All – Selects all reports, including Narratives
  • Select None – Deselects any selected reports
  • Select Primary and Support – Selects the reports required for an AAP, plus the reports showing supporting documentation and calculations (e.g., Adverse Impact)
  • Select Primary – Selects the required reports for an AAP that will accompany the Minorities/Female, IWD, and Veterans Narratives
  • Select Support Reports – Limits the selection to those reports showing supporting documentation and calculations


Quick Primer: Compile the required Affirmative Action Plan

  1. From the Quick Select buttons (described above), choose: Select Primary.
  2. Select the Narratives to include.
  3. Proceed to export selections, as described next.

Quick Tip: If you used Narrative Settings: Manage Documents to upload documentation for inclusion in the AAP and want to compile all Narratives and documents, select the Narratives Report Group.

Select One or More Reports

Select an individual report or add a report to a current selection of reports by checking the box in the Export column.

Select a Report Group

Check the box next to a Report Group header to select that group of reports.

Quick Tip: Choose [Save] from the lower toolbar to save current selections so that they will be already selected on return to: AAP Reports.


2. Export Selected Narratives and Reports

Determine Output Settings

Prior to performing the export, review settings, located above the AAP Reports list, to determine how the selected Reports will be organized for the export.

Select one of the following radio buttons:

  • Zip file (Combine all reports into a single, compressed output file)
  • Single Files (Save each report as an individual document)

Select Export File Type for Reports

Next to the [Export] button, click the currently displayed file type to display other options. The three options for file type are:

  • PDF (Read only)
  • Word or Excel (Editable)

If the displayed file type is not suitable, select a different one before performing the [Export].

Note: Minorities/Women, IWD, and Veterans Narratives can only be exported in PDF.

Once you have determined the file type, click Save.

Perform Export Operation

Next, after making report selections (as described above), choose the [Export] button from the upper toolbar.

Quick Tip: If the report or plan will take some time to run, use the provided prompt to [Run in Background].

When the system has compiled the export file(s), a Notification bar will display. Select: click here to download. Save the file(s) to your computer. The selected reports will be formatted, based on the selections made.

Note: Depending on the browser and file type, use native tools to open or save the report(s).
